So how does a wireless printer function?

Wireless printers use built-in WiFi transceivers to connect to a WiFi network (meaning your wireless router) and print documents from connected devices that are also connected to the same wireless router. Upon initial configuration, the printer shows up on any device connected to the network, whether it is a laptop computer, desktop computer or a mobile device such as a mobile phone or tablet.

Alternatively, another method behind which a wireless printer can work is through Bluetooth technology. Unlike WiFi-connected printers, the Bluetooth enabled printers can connect directly to the devices that support the given technology.

When a device initiates a print job, the wireless printer receives a command to print a document just like any standard printer. If the printer has a scanning function, a user can scan documents with the printer and save the scanned image directly to the receiving devices as well this is possible due to them being connected to the same wireless network so they can communicate together.

In order to use a WiFi printer, an admin must configure the printer to connect to the local WiFi network as mentioned above. Most modern printers support WiFi connection, however, some older WiFi-enabled printers may not be able to connect to the network.

In addition to being able to connect to WiFi networks, a wireless printer can also use Wi-Fi Protected Access (WPA) encryption as a security measure against hackers. WPA encryption is a security protocol and is a safer alternative to the standard WEP encryption found in older wireless printers.

Printers are still an important part of most business offices, but they’ve always had one limitation: a huge tangle of messy cords. As more devices become wireless, the reasons for buying a wireless printer are a cleaner and simpler setup.
